Your instructor roster at /studio/instructors is the list of teachers who teach at your studio. You invite each one as an Employee (your studio creates the classes and your clients pay the studio) or a Renter (they bring their own classes and clients, and pay you a rental fee). Adding instructors costs nothing extra.
Employees and renters
| Employee | Renter | |
|---|---|---|
| Who creates the classes | Your studio | The instructor, on their own teacher account |
| Who the clients pay | Your studio | The instructor |
| How the instructor earns | You pay them yourself, outside MoveMentors | They keep what their clients pay |
| What they pay you | Nothing through MoveMentors | A rental fee you set, paid by card through Stripe |
| What they can schedule | Your studio's classes, in your rooms | Their own classes, in your rooms |
A common setup for a small studio: the teachers you pay are employees, and visiting teachers who run their own classes or workshops in your space are renters.
Inviting an instructor
The teacher needs a MoveMentors teacher profile first. If they don't have one yet, ask them to sign up as a teacher and finish their profile before you invite them.
Open Instructors
In your studio dashboard, go to Instructors (under Operations in the sidebar) and click Invite instructor.
Enter their profile slug
In Mentor profile URL or slug, type the last part of their public profile link. If their profile link ends in
/lynn-carter, typelynn-carter. Type only the slug, not the whole link.Pick a role and send
Choose Employee (studio collects payment) or Renter (instructor takes their own bookings), add a personal message if you like, and click Send invite.
The teacher gets an email with a button to review the invitation, and accepts or declines it on their Studios page. Their row on your roster then shows Active or Declined. You don't get an email when they answer, so check the roster. A pending invitation can't be withdrawn.
Statuses
- Pending: invited, waiting for their answer.
- Active: they accepted and can schedule at your studio.
- Declined: they said no. You can Re-invite them.
- Revoked: you ended their role. You can Re-invite them later.
Who teaches each session
Every session carries its own instructor, so a weekly class can be taught by different people on different weeks.
- When you create a class. Under Who teaches this class?, pick an employee to assign them to every session you create with the class, or choose Studio (assign per session). The picker appears once you have at least one active employee.
- When an instructor claims a slot. Active instructors open your studio's calendar from their Studios page, click Claim open slot, and pick the class, date and start time (within the room's hours). The session is added with them as its instructor. Employees claim slots for your studio's classes. Renters can't book slots for their own classes from the calendar yet; see renting out your space.
- Your overview. Schedule in your sidebar shows the whole week across all instructors. Once two or more people teach in a week, you can filter by instructor.
Changing the instructor of a single session that already exists is not available from the calendar yet.
No double-booked rooms
Two sessions can't overlap in the same room. If a new session, a recurring series or a claimed slot would clash with something already scheduled there, it is blocked, and the claim form tells you who already has the room. Back-to-back sessions are fine, cancelled sessions don't count, and sessions outside the room's opening hours are blocked too.
When an instructor leaves
Click Revoke
On /studio/instructors, find the active instructor and click Revoke.
Add a reason if you want
The reason is optional. If you add one, the instructor sees it in the email we send them.
Choose who takes over
Under Transfer future sessions to, pick another active instructor, or leave the sessions unassigned and reassign them yourself. A session that would overlap the new instructor's other sessions stays unassigned.
Past sessions and existing bookings are not changed. The instructor who leaves gets an email saying their role at your studio has ended. The instructor who takes over is not emailed, so let them know yourself.
Common questions
Does adding instructors cost extra? No. There is no per-instructor fee. Studio plans are a flat monthly or yearly price; see pricing.
Can a teacher ask to join my studio? Not as an employee; the invite always comes from you. A teacher who wants to use your space for their own classes can send you a request with Rent this space on your public studio page. If you approve it, they join your roster as a renter. See Renting out your space.
Can I switch someone from renter to employee? Revoke them, then use Re-invite and pick the other role. Keep in mind that revoking unassigns or transfers their future sessions.
How is this different from custom mentors? Custom mentors are name-and-photo credits for teachers who don't use MoveMentors, and they can't log in. Roster instructors have their own accounts and can see and claim slots on your schedule. See Custom mentors.
